JOB DESCRIPTION

We are looking for a Wholesale Coordinator to take ownership of the operational side of our wholesale business. You will manage the order book from confirmation to final delivery, handle invoicing and payment follow-up, and coordinate shipments with our logistics centre and our partners worldwide.

This role is the operational backbone of wholesale. It requires precision, structure, and the ability to keep many parallel deadlines moving without losing sight of the detail.

You will work closely with Wholesale, Logistics, Finance, Merchandising, and our international agents and showrooms.

RESPONSIBILITIES

  • Own the wholesale order book: collect, enter, and verify orders from agents and showrooms after each selling season
  • Check orders against minimums, terms, discounts, and delivery windows, and issue order confirmations
  • Maintain product and price data across the ERP and B2B platforms, including barcodes and availability
  • Prepare proforma and final invoices, credit notes, and delivery documents
  • Monitor payment terms and prepayments, and follow up on open items together with Finance
  • Plan delivery windows per account and hand them over to the logistics centre in time
  • Coordinate picking, packing, and shipping, including retailer-specific labelling and packing requirements
  • Prepare export and customs documentation for non-EU accounts and arrange carrier bookings
  • Track shipments, delays, backorders, and split deliveries, and keep accounts informed proactively
  • Act as day-to-day contact for wholesale partners on availability, reorders, swaps, returns, and claims
  • Report on the order book against shipped and invoiced volumes, and on sell-in per season and account

THE IDEAL CANDIDATE

  • Strong interest in A KIND OF GUISE products, brand philosophy, and craftsmanship
  • First experience in wholesale, order management, logistics, or a comparable operational role, ideally within fashion or premium consumer goods
  • Highly organised and detail-oriented, with a structured and reliable way of working
  • Confident with Excel and ERP systems; experience with B2B platforms is a plus
  • Comfortable managing several deadlines and accounts in parallel, calm under seasonal pressure
  • Clear and service-minded in communication with partners, agents, and internal teams
  • Proactive mindset, with the ability to flag issues early rather than solve them silently
  • Business fluent in German and English
